The Data Collector Experience

Reminder Emails

Data collectors do not need to be full system users. They are sent everything they need to submit data for the metrics assigned to them, and nothing else.

Each period, data collectors receive an automated email from the Thrive platform. It names the project they are assigned to and includes a link to access the project and enter their outstanding records.

The Data Collection Form

Selecting the link opens a simplified data collection form. It shows:

  • Your organisation's logo at the top of the page, with the project name and reference underneath.
  • Impact Evaluation Standard Guidance: a link to the IES guidance, top right.
  • Only the metrics assigned to that collector, grouped by impact area, with search, Group by and Expand All controls.
  • Progress and capture periods for each metric, in the same layout as the project's Metrics tab, including the amount recorded against target and any records pending approval.
  • Reporting Periods: a calendar of the collector's periods for each year, with a coloured dot showing the status of each period.
  • Social Value Over Time: a chart of the social value the collector has generated.
  • Summary tiles: Total Social Value, Total Metrics, Incomplete Reporting Periods and Days remaining on the project.
  • Metrics: underneath, the metrics assigned to the collector, grouped by impact area with the social value generated for each.

The collector adds data using + Add or the + on a period, in exactly the same way as described in the ‘Adding Data’ article. Submitted records feed straight into the project, where they are visible to the project's Lead and Auditor.

Tracking Data Collectors

From the project's Data Collectors tab (see ‘Working in a Live Project’ in the ‘Converting Bids and Project Set-Up’ article), select a collector's name to open their page. Select Back to Data Collectors to return to the list.

Tip Check Incomplete Reporting Periods regularly to see who needs a reminder before a reporting deadline.
